Members, participants, guests and sponsors of AITP
We are fast approaching the conclusion to a great year at AITP. Our monthly Panel Discussion Programs have been a great hit among the participants and panelists and have sought to educate, inform and extend our knowledge of the most important IT topics. Attendance at our monthly programs has been at an all time high with an average of 60 to 70 participants each month. We should all be very proud of these accomplishments and the progress the organization has made.
To sustain this momentum going into 2012, we need to continue to infuse the organization with great volunteers like yourself. The work at AITP is all volunteer where we hope you get as much out of the organization as you can put in. Below are the newly created board positions for 2012. If you have received any benefit from the AITP Programs please express your interest in taking on a position in AITP by return e-mail to Herb Sening at herb.sening@anthem.com.
Without volunteers like you, AITP cannot continue to put on programs you attended this year.

Richmond AITP Vision / Mission – Provides the vision and mission for the Richmond AITP chapter that will provide direction for every organizational action.
To be the facilitator and conduit for local information technology information, solutions and networking. We will do this through Informing and Networking:
Informing – Through our members and partners, we want to inform the IT community of the latest IT trends based on local implementations and solutions. If there are IT trends, issues, challenges or opportunities impacting local IT organizations, we want the Richmond AITP to be the place to turn to facilitate a local discussion on those topics.
Networking – Through our members and partners, we want to facilitate the sharing of ideas, experiences and learning at a local level, member to member. When you have a technology question or issue, we want you to reach out to your Richmond AITP network first, to find that answer.
We will accomplish this mission through local programs driven by the member’s needs, formalizing and opening up our networks to be used as a tool, provide support for user groups and work sessions, and provide website tools to facilitate discussions, meetings and idea sharing.
AITP Goals – Provides a sense of the success criteria AITP will us to measure our organizational performance. This is a representative list but not exhaustive.

AITP Board Position Descriptions – Provides the position descriptions and expectations of each position. Each of these components becomes a criteria for success for the position and an expectation for performance to deliver the quality programs for AITP.
President
- Leads Mission and Vision
- Coordinates all VP Positions
- Holds Board Meetings

- Meeting Registration Director
- Greet members, guests and presenters
- Arrange name tags and ensure registration is smooth
- Be the welcoming committee or host for the event
- Provide for Preprinted Name Tags with Names
- Provide Preprinted “Special” Name Tags for Speakers
- Identify first time guests, Identify members, Identify Board, Friends of AITP
Panel Gifts Coordinator
- Coordinate the speaker gifts for each program
- Obtain, package and coordinate speaker gifts
Meeting Accommodations Director
- Provide room at Hilton Garden Inn Innsbrook
- Provide Food and Drink to match level of professionalism
- Ensure seating for attendees and tables for panelists
- Provide AITP signage at meetings
- Facilitate sponsor signage at meetings
- Arrange for any technology needed at meetings such as: Projector, Microphone, etc.

- Provide a place to hold program descriptions
- Provide a place for sponsorship visibility
- Provide a link to meeting registrations
- Provide a place for content and information about program and organization
- Keep content current and fresh
- Links to corporate AITP
- A place for sponsors to post stuff related to their company
- Provide for newsfeeds

- Collect Sponsorship Fees

- Manage Tax Reporting Requirements
Sponsorship Director
- Review and refresh, if needed, sponsorship program
- Solicit sponsorships from companies
- Manage program to ensure sponsors get value
- Manage sponsor publicity for visibility on website and meetings
- Line up sponsor pitch at meetings
- Ensure sponsor logo is presented on materials, in meeting, etc.
VP Social Events
- One or two per year
- Only do it if we have a champion / chairperson / leader
- Used to promote AITP name and organization
- Supports Networking Goal
